The VHTRC is governed by a five-person Board of Directors, elected by the membership to serve a two-year term. Here Club members can learn how to nominate candidates for the Board and the process by which the Board is elected.
Per the Bylaws, the VHTRC is governed by a five-person Board of Directors, elected by the membership to serve a two-year term. The current Board’s term expires at the end of 2025 and it is time to elect a new Board.

Candidate declaration period

Potential candidates should contact the Commissioner of Elections, Rob Colenso, and indicate their interest in serving on the Board.
Informal discussion is encouraged at this point. Those interested in serving on the Board are also encouraged to discuss the matter with any other current Board member. To be an official candidate, however, the member must contact the Commissioner.
In declaring their interest to the Commissioner, candidates must state that they will have been a VHTRC member for two years as of January 1, 2026. The Commissioner will resolve all eligibility issues.
The candidate declaration period closes at Wednesday, October 29, 2025 at 9:00 pm.
Nomination period
Begin: Wednesday, October 15, 2025 at 9:00 am
End: Sunday, November 2, 2025 at 9:00 pm
To be a candidate, a member must be nominated by two other Club members. From the Bylaws:
Candidates: All candidates for any elective office must be nominated by two other members of the Club to whom they are not related by blood or marriage or with whom they do not reside. Any one member may not nominate more persons than there are vacant offices in the election.
Potential candidates should arrange to have their nominators email the required nominations to the Commissioner of Elections. The email need only say “I nominate [John Smith] to be a member of the VHTRC board of directors.” or words to that effect. (Nominators need not agonize over the language; it won’t be public.)
Nominations are ineffective for any person who does not declare his or her candidacy first. Candidates cannot be drafted and will not be placed on the ballot unless they themselves have declared their candidacy.
We will not list the names of nominators on the website, but the Commissioner will identify the nominators for any Club member who requests. In other words, nominators are not a secret but will not be publicized.
The Commissioner will keep an official list of declared candidates, but it will not be made public before Tuesday, November 4, 2025. In the interim, any member showing a serious interest in running may know the identities of other individuals who have shown a serious interest. The Commissioner may communicate with candidates informally as to the status of their nominations.
A candidate may also withdraw his or her candidacy at any time before voting starts, but this must be done before November 1 (Saturday).
To be a candidate, a member must be nominated by two other non-related Club members. These nominations must be received by Sunday, November 2, 2025 at 9:00 pm.

Posting of candidate statements
Begin: Wednesday, November 5, 2025 at 9:00 am
End: Wednesday, November 19, 2025 at 9:00 pm
Preceding the election is a campaign period, during which time VHTRC members may get to know the candidates through their prepared statements. From November 5—19, candidates may post and revise their statements. Candidate statements will remain published through the end of the election.
Starting November 5, candidates may put a statement on the website. Candidates may change their statements through November 19 at 9:00 pm.
Voting period
Begin: Friday, November 21, 2025 at 9:00 am
Begin: Monday, December 1, 2025 at 9:00 pm
Club members will have one week to vote, from November 21—1. Members will vote online in a manner that ensures the confidentiality of their votes. The mechanics of the election are explained on the ballot.
All members of the VHTRC as of October 15, 2025, are eligible to vote. On November 21, eligible members will receive an email from ElectionRunner with instructions on how to vote, which is recorded online in a confidential manner. If you are a current club member and did not receive this email or, if you have other questions about the election, please contact the Election Commissioner, Rob Colenso.
At the end of the voting period, all candidates will be notified of the results and the results will be on the website. For public purposes, the website will list only the five candidates with the most votes. Any candidate, winning or losing, may find out his or her vote and how it compared with others if he or she asks.
Club members have one week to vote, from Friday, November 21 to Monday, December 1.

John Calabrese
Attending VHTRC events are really the only times I feel I can truly be myself. I love this club so much. I’ve run so many of the clubs races over the years, and now I want to put my passion for adventures into working for you, the club’s membership. I truly plan to put in the time to serve the best trail running club in the world.
Heather Dougherty
I am seeking an opportunity to give back and to make a positive impact within VHTRC by serving on the board. I’ve become much more present at events in the last two years and this is a great opportunity for increasing my impact.

VHTRC member since 2013. It has been a privilege to serve the Club as a Board member these past two years, and I am looking forward to working with new Board members and continuing the progress the Board has made in increasing volunteer participation, creating new events, and general community outreach. My experience in problem solving, relationship building, and inclusivity will continue to serve the Club well.
